NOW HIRING: Office and Finance Coordinator

Location: Remote (Canada-wide)
Duration: Full-time, 1-year contract with possibility of extension 
Salary range: $48,000–$58,000/year (commensurate with experience and skills)
Reports to: Project Director

Deep Tech Canada (DTC) is seeking a detail-oriented and proactive Office & Finance Coordinator to join our team. This role supports the day-to-day operations of our organization through a combination of finance administration, reporting, stakeholder support, and office management.

You will work closely with the Project Director and team members to ensure financial processes run smoothly, records remain organized, reporting deadlines are met, and internal operations are efficient.

This role is ideal for someone who thrives in a fast-paced environment, enjoys keeping things organized, and is passionate about supporting impactful initiatives.

Key Responsibilities: 

Administrative & Executive Support

  • Provide administrative support to ensure the efficient operation of activities and initiatives
  • Coordinate and schedule meetings for the executive team and stakeholders
  • Manage and maintain executive calendars
  • Prepare meeting agendas, documents, and follow-up action items
  • Maintain organized digital records, files, and administrative systems
  • Assist in the planning and delivery of projects

Finance & Reporting Administration

  • Collect and review expense claims and receipts from staff, program participants, and partners for accuracy, completeness, and compliance with program guidelines
  • Verify that receipts and claims align with approved budgets and expense categories
  • Manage reimbursement processes for trade mission participants and funded initiatives
  • Prepare and send invoices to members, sponsors, and partners
  • Track invoice status and follow up on outstanding payments
  • Track key metrics and maintain reporting calendars and deadlines
  • Support preparation of financial summaries for board meetings and organizational reporting

General Operations Support

  • Assist with event logistics and operational coordination for meetings, missions, and organizational activities
  • Support continuous improvement of administrative systems and processes
  • Provide general operational support as needed
Education:
  • High school diploma or equivalent required.
Experience:
  • 2+ years of experience in administrative coordination, finance coordination, bookkeeping, or operations support roles
  • Experience supporting executives, coordinating projects, or working with external stakeholders is considered an asset
  • Proficiency in Microsoft Excel, Word, PowerPoint, and other relevant software applications is required
  • Proficiency in QuickBooks Online (QBO) is an asset
  • Experience with CRM systems, Mailchimp, and Civic Track is considered an asset
  • Experience in the nonprofit or government-funded sector is considered an asset 
Knowledge and skills:
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong interpersonal skills and ability to work collaboratively with diverse stakeholders
  • Ability to work independently and proactively solve problems
  • French language skills are considered a strong asset
